Apollo Music Academy LLC — Policies

Plain language, no surprises. If you only read one thing: tuition is due on the 25th of the preceding month, and two weeks' notice stops lessons.

Tuition & Enrollment

Monthly Tuition

Tuition is billed in advance each month based on the number of lessons scheduled that month, and reserves your student's weekly lesson time with their instructor. Tuition is due on the 25th of the preceding month (for example, September tuition is due August 25). Payment is considered on time if received on or before the due date. Invoices are sent seven calendar days before the due date. Tuition is non-refundable.

Taking a Break or Discontinuing Lessons

If you'd like to stop lessons — whether for a short break or for good — please notify us at least two weeks before the start of the next billing cycle. If you stop without giving that notice, including by simply letting payment lapse instead of notifying us, you'll be billed for two additional lessons at your student's per-lesson rate, in addition to any late fees under the Non-Payment policy below. Once lessons stop, the reserved time slot is released so it can be used by another student; when you're ready to resume, we'll do our best to place your student back with their instructor, but this depends on availability at that time and is offered on a first-come, first-served basis alongside other students. If you stop partway through a paid month, any missed lessons for that month may still qualify for a make-up lesson credit under the standard make-up policy; the unused portion of that month's tuition is non-refundable.

If a student stops attending lessons and does not respond to communication for two consecutive weeks, Apollo Music Academy LLC may treat the enrollment as discontinued without further notice, releasing the reserved time slot. Billing for that account follows the payment-status terms above and below, depending on whether tuition was current at the time.

Non-Payment

Accounts not paid by the due date are subject to a $15 late fee. If tuition is more than five days overdue, lessons will not be held until the account is brought current. Lessons missed due to non-payment are not eligible for a refund or make-up lesson credit. An account that remains unpaid five days past the due date with no notice given will be treated as an unannounced stop under the Taking a Break or Discontinuing Lessons policy above: the amount owed is reduced to the two-lesson fee described there, in addition to the $15 late fee, and the reserved time slot is released.

Attendance & Make-Up Lessons

Student Absences

If a student is unable to attend a lesson, Apollo Music Academy LLC should be notified as soon as possible. Students who provide at least 24 hours' notice before a missed lesson may be eligible to receive a make-up lesson credit. Make-up lessons are subject to availability and are not guaranteed.

Illness & Emergencies

Students who miss a lesson due to illness or a genuine emergency may also be eligible for a make-up lesson credit, even if less than 24 hours' notice is provided. Examples of qualifying circumstances may include student illness, family illness, medical appointments that cannot reasonably be rescheduled, vehicle breakdowns or accidents, family emergencies, or bereavement.

Late Cancellations & No-Shows

Lessons missed with less than 24 hours' notice for reasons other than illness or emergency will be forfeited. No-shows are not eligible for a make-up lesson credit.

Make-Up Lessons

Students with an eligible make-up lesson credit may schedule a make-up lesson at WLS or online (subject to instructor availability at each location), at a time that works for both the student and instructor. Make-up lessons are subject to instructor availability and are not guaranteed. Students may earn a maximum of one make-up lesson credit per calendar month, regardless of the number of eligible absences. Make-up lesson credits expire 60 days after the missed lesson date. Make-up lesson credits have no cash value and may not be exchanged for refunds.

Tardiness

Lessons that begin late due to student tardiness will still end at the scheduled time. Lesson length is not extended to accommodate late arrivals.

Teacher Absences & Monthly Calendar

Each month's lesson calendar, including any planned instructor time off, is finalized by the 1st of the preceding month (for example, the September calendar is finalized by August 1) and posted to your student's calendar in the student portal (which can be synced to your Google or iCal calendar). Monthly invoices reflect the finalized schedule.

If an instructor must cancel a lesson that was on the finalized calendar, a make-up lesson or tuition credit toward a future invoice will be provided.

Instructor Reassignment

If an instructor is unavailable for an extended period, students will be placed with another available instructor based on that instructor's open lesson times, offered on a first-come, first-served basis.

In the Studio

Parent/Guardian Observation and Supervision

Parents and guardians may observe lessons, wait elsewhere in the building, or leave during the lesson. If leaving during a minor student's lesson, they must remain in Chaska, be reachable by phone, and return before the lesson ends.

Parents are responsible for students before and after their lesson and must supervise any siblings or other children who are not taking a lesson. Children may not be left unattended in the building. When observing, please allow the instructor to lead and avoid interrupting unless invited. Prompt pickup is required because instructors may have another lesson immediately afterward.

Assumption of Risk

Participation in music lessons carries some inherent risk, including but not limited to minor injuries such as repetitive strain to fingers or wrists, or trips and falls within the lesson space. By enrolling, parents and guardians acknowledge this risk and agree to release Apollo Music Academy LLC from liability for claims arising from ordinary negligence, to the extent permitted by law.

Emergency Medical Authorization

In the event of a medical emergency during a lesson, Apollo Music Academy LLC is authorized to seek emergency medical treatment for the student if a parent or guardian cannot be reached immediately. The family is responsible for any costs associated with such treatment.

Premises Disclaimer

Lessons take place at the World Learner School facility. Apollo Music Academy LLC is not responsible for the condition of the premises, common areas, or facilities, which are maintained by World Learner School.

Equipment & Liability

Apollo Music Academy LLC is not responsible for damage to personal instruments brought to lessons. Students are expected to use academy-provided instruments (piano, drums) with care; cost of repair or replacement due to misuse or negligence may be the family's responsibility.

Photo & Video Release

Apollo Music Academy LLC may photograph or record students during lessons or recitals for use in academy promotional materials, including social media and the website. Please notify us in writing if you do not wish your student to be included.

Right to Refuse or Discontinue Enrollment

Apollo Music Academy LLC reserves the right to decline or discontinue enrollment for any student, at its discretion, including for unsafe or disruptive behavior or repeated policy violations.

Special Circumstances

Apollo Music Academy LLC understands that unexpected situations arise. Exceptions may be made for illness, emergencies, or other special circumstances at the discretion of the academy. The academy reserves the right to make reasonable decisions regarding attendance, make-up lessons, billing arrangements, and policy exceptions on a case-by-case basis.

General Provisions

These policies are governed by the laws of the State of Minnesota. If any provision of these policies is found unenforceable, the remaining provisions will remain in full effect.
