Privacy Policy
This policy explains what personal information Apollo Music Academy LLC ("Apollo Music Academy," "we," "us") collects from students, parents, and guardians, why we collect it, and the choices you have — including how we handle leads from Facebook and Instagram, and text messages about lessons and scheduling.
Who we are
Apollo Music Academy LLC is a music school based in Chaska, Minnesota, offering in-person lessons in piano, guitar, drums, voice, trumpet, trombone, flute, clarinet, saxophone, and ukulele to students of all ages, including young children enrolled by a parent or guardian. We do not offer online or remote lessons — every student takes lessons at our Chaska studio.
Our studio address is 112050 Hundertmark Rd, Chaska, MN 55318, and you can reach us at 612-401-7436 or through apollo-music.com. This policy covers information we collect through our website, our Facebook and Instagram lead forms, phone calls, text messages, email, and our in-person enrollment paperwork.
Information we collect
We collect information directly from you — as a prospective student's parent or guardian, or as an adult student — when you request a trial lesson, fill out a lead form, call or text us, or enroll. Depending on how you reach us, this can include:
- Contact details — full name, email address, and phone number.
- Student information — the student's name, age or age group, the instrument they're interested in, and their experience level.
- Location confirmation — whether you're able to travel to our Chaska studio, since we don't offer online lessons.
- Communication preferences — whether you're okay with occasional text messages about lesson openings or scheduling.
- Enrollment and billing details — collected separately once you enroll, described in Billing & tuition.
- Anything you tell us directly — notes from calls, emails, or texts about scheduling, preferences, or questions.
We don't ask lead-form visitors for a home address or city — only enough to confirm you can get to our Chaska studio.
Facebook & Meta lead ads
Some of our trial-lesson leads come through Instant Forms on Facebook and Instagram, run through Meta's advertising platform. When you submit one of these forms, Meta may pre-fill your name, email address, and phone number from your Facebook profile — you can review and edit these before submitting. We only receive the answers you submit; we don't receive your broader Facebook account data.
Meta's own data policy governs how Meta itself handles the information passed through its platform before it reaches us. You can review that policy directly from Meta at any point during the form. Once a lead reaches Apollo Music Academy, it's handled the same as any other lead under this policy.
How we use your information
We use the information you give us to:
- Respond to your trial-lesson request and schedule your first lesson.
- Match you with a teacher for the instrument and age of the student.
- Send scheduling confirmations, reminders, and updates about your trial or ongoing lessons.
- Follow up if we haven't heard back, so a trial request doesn't fall through the cracks.
- Let you know about lesson openings or scheduling changes, where you've told us that's okay.
- Manage enrollment, billing, and your account in our student-management system.
We do not use your information to build advertising profiles about you, and we don't share it with our former or current marketing vendors beyond what's needed to run the ad campaign itself (for example, Meta's own ad-delivery systems).
Text messaging (SMS)
We use text messages for two different purposes, and they're treated differently:
Messages about a request you've already made
If you've asked us to schedule a trial lesson or you're an enrolled student, we'll text you about that specific request — confirming your trial, following up if we haven't heard back, or sharing scheduling logistics. These messages are a direct part of fulfilling the request you made, so we don't require a separate opt-in to send them.
Ongoing check-ins
Separately, we may text you from time to time about new lesson openings or general scheduling updates, outside of an active request. We only send these if you've told us that's okay on our lead form or elsewhere. Message frequency is occasional, not frequent; message and data rates may apply; and you can reply STOP at any time to opt out of these ongoing check-ins.
Opting out of ongoing check-ins doesn't affect messages tied to a trial or lesson request you've already made — we'll still confirm and follow up on those by text unless you ask us to reach you a different way.
Children's privacy
Many of our students are children, but our lead forms, website, and enrollment paperwork are designed to be filled out by a parent or guardian — not by the child. We don't knowingly collect personal information directly from a child online. If we become aware that a child has submitted information to us directly without a parent or guardian's involvement, we'll delete it.
The FTC's amended Children's Online Privacy Protection Act (COPPA) rules took full effect April 22, 2026. We're reviewing our practices against those changes on an ongoing basis and will update this policy if anything about how we handle children's information changes as a result.
Do we sell or share your information?
We do not sell your personal information, and we don't share it with third parties for their own marketing purposes. We share information only with the service providers that help us run the school — for example, our student-management platform, our lead-form and advertising platform (Meta), the provider that delivers our website booking-form submissions to us (Formspree), our website hosting provider (Cloudflare), and, where applicable, payment processing for tuition — and only to the extent needed for them to provide that service to us.
Cookies & website analytics
Our website uses Cloudflare Web Analytics, provided by Cloudflare, our hosting provider, to understand how visitors use the site — for example, which pages are visited and how quickly they load. Cloudflare Web Analytics is designed to work without cookies and without tracking individual visitors across websites. We use this information in aggregate to understand what pages are useful, not to identify individual visitors personally.
Some parts of our site load content from other providers. Our Contact page includes an embedded Google Map, and our pages use Google Fonts. When your browser loads these, Google receives your IP address and may use cookies or similar technology, as described in Google's own privacy policy.
Billing & tuition
Once you enroll, we collect the information needed to manage your account and bill for lessons through our student-management platform. This includes your enrollment agreement, tuition and payment details, and lesson attendance. Tuition and billing details are set out in your enrollment agreement and our studio policies, available at apollo-music.com/policies.
How long we keep information
We keep lead information for as long as it's useful for following up about lessons, and we keep enrolled-student and billing records for as long as your student is enrolled, plus a reasonable period afterward for our business, tax, and legal record-keeping needs. If you ask us to delete your information and you're not an active or recently active student, we'll do so unless we're required to keep it for a legitimate business or legal reason.
Your choices
You can:
- Ask us what information we have about you or your student, and ask us to correct it.
- Opt out of ongoing check-in texts at any time by replying STOP, without affecting texts tied to an active trial or lesson request.
- Ask us to delete your information, subject to the retention needs described above.
- Reach us any time using the contact details below with questions about your information.
Changes to this policy
We may update this policy from time to time — for example, as our practices change or as laws like COPPA are updated. We'll update the effective date at the top of this page when we do. If changes are significant, we'll do our best to let current families know directly.
Governing law
This policy is governed by the laws of the State of Minnesota, without regard to its conflict-of-law principles, and applies to information collected in connection with Apollo Music Academy LLC's studio in Chaska, Minnesota.
